Operations Co-ordinator

Newlyn School of Art is a leading provider of art courses and year-long mentoring for artists from around the country. Based in the famous artistic colony of Newlyn in West Cornwall, the art school provides courses throughout the year.

We are offering an exciting opportunity of a new role as an Operations Co-ordinator to help support the Directors with all elements of the day to day running of the busy Art School. The successful candidate will have proven experience co-ordinating a busy workplace and will have excellent administrative and organisational skills.

We are looking for a positive, motivated and highly organised individual who is looking for a long-term role within the team at Newlyn School of Art.

Knowledge of art and art materials is not a prerequisite. We are focused on finding a candidate who has spent several years building up exceptional administration skills and has a strong ability for attention to detail whilst being able to deal with the public confidently.

Some basic book-keeping experience would be a desirable.

 

Newlyn, Cornwall

Full time, Permanent (37.5 hours per week)

Starting £24,500-£26,500 per annum

About the role:

We are looking for a highly organised, motivated, conscientious, reliable and personable Operations Co-ordinator to assist with the running of daily business activities and administrative tasks. You should be able to resolve problematic situations efficiently and have excellent communication and organisational skills. As an outstanding individual to take the role of Operations Co-ordinator you should be able to ensure the smooth daily operations of the Art School.

An example summary of the responsibilities of this role include:

Assisting with the co-ordination of daily operational activities.

Assisting with all course enrolments and administration of the staged process of year long programme applications.

Administrative support to the Directors.

Performing general administrative tasks, such as answering phones, email management, maintaining mailing lists, booking necessary trades, safety checks, booking of training and events.

Co-ordinating the proper allocation of free-lance staffing including models and drivers.

Purchasing of office and art materials supplies including stock control and the maintenance of equipment.

Liaising with the Lead Technician to ensure deadlines are met.

Preparing reports and documents as and when required for Directors.

Creating invoices using Xero software.

Assisting with all promotion of events and associated exhibitions and courses including liaison with social media consultants.

Assisting with updating of information on the website and regular creation of newsletters.

Essential Requirements:

We are looking for someone who has a proven track record of excellent administrative experience.

You should be proactive and forward thinking with a positive attitude and have strong IT skills including Microsoft software in particular Outlook, Excel, Access and Word, Adobe Suite including Photoshop. You must have excellent numeracy and written English, strong organisational skills and attention to detail.

Desirable but not essential:

working knowledge of bookkeeping software Xero or similar.
